Invite members to a team
Invite collaborators to a team workspace, choose the right access level, and revoke access cleanly when someone leaves.
· OpenbirdAI documentation
Inviting a member to a team workspace grants them access to that workspace's connected data, memory and conversations. Treat an invitation as an access decision, not an administrative formality.
This guide describes a capability that depends on the connected provider, the permissions granted to it, and your current plan. If the provider cannot supply the required data, OpenbirdAI reports it as unavailable rather than estimating.
Before you invite
- Confirm the person genuinely needs this workspace's data.
- Choose the least-privileged role that lets them do their work.
- Tell them which connections are active so they do not duplicate them.
- Check whether your organisation requires a data-processing agreement before access.
Sending an invitation
- Open the workspace and go to its members area.
- Invite the person by the email address they will use to sign in.
- Select their role.
- They accept and sign in; their access starts from that workspace only.
Choosing a role
- Full member — day-to-day use of the workspace, its connections and its memory.
- Limited member — narrower access where your workspace configuration supports it.
- Viewer-style access — useful for people who should see outputs but not the underlying data.
Roles and their exact capabilities depend on your plan and current configuration. The members area shows what is actually assignable.
When someone leaves
- Remove their membership from the workspace.
- Confirm they can no longer read workspace conversations or memory.
- Review connections they personally created and decide whether to keep or reconnect them under a service account.
- Revoke any provider sessions they still hold for shared integrations.
Removing a member stops future access immediately. Their past contributions to workspace memory may persist, so review shared memory after offboarding.
Invitations that never arrive
An invitation is sent to the address the person will sign in with. If it does not arrive, the usual causes are a typo in the address, a corporate mail filter, or an invitation sent before they had an OpenbirdAI account.
- Confirm the address matches the one they actually use to sign in.
- Ask them to check spam and quarantine folders before re-sending.
- Remove the stale invitation and re-issue it if the address changed.
Never invite a personal address for a work-only member. Their access to workspace data outlives the project.
Common questions
Can someone outside my company be a member?
Yes, but they will be able to read the workspace's connected data. Use a separate workspace for external collaborators.
What happens to their conversations?
They remain in the workspace. Remove them explicitly if they should not be retained.
